- Define & Filter Your Target: We start by narrowing our focus to the most relevant accounts and contacts. Using tools like LinkedIn Sales Navigator, we apply firmographic filters — for example, industry, company size (headcount), HQ location, and company type. This defines the universe of companies/contacts that matter to you. Then we layer in role-based filters: seniority level, job titles, department, years in current company, etc. The result is a focused list of prospects that fit your ideal customer profile right now (not last year). This is the foundation for finding useful signals.
- Identify Trigger Signals: Next, we hunt for the actionable events that tell us when and how to reach out. Within Sales Navigator and other platforms, we look for specific triggers, such as: contacts who “Changed jobs in the past 90 days”, companies that just “raised a new funding round”, or prospects who share a previous company/experience with our team (instant rapport!). We also leverage intent data — for instance, Apollo.io can highlight accounts showing buying intent on certain keywords, and tools like Crunchbase or news alerts can flag when a target company announces a big move. The key is layering behavioral and intent signals on top of your static list: job changes, new leadership hires, recent LinkedIn posts or engagement, expansions, new product launches, etc. These signals provide a contextual reason to connect, turning cold outreach into timely outreach.
- Enrich Contact Data: Once we’ve identified high-value people and signal events, we make sure we have complete contact info and background on them. Enrichment involves pulling in missing pieces of data for each contact and account. For example, if we found a decision-maker on LinkedIn but lack their email or phone, we’ll use tools like Apollo.io, Adapt.io, RocketReach, or Voila Norbert to find professional email addresses, direct dials, and even current location. In this step we also add any firmographic details we might not have captured initially (e.g. company domain, industry category, employee count if missing). The goal is to have a 360° view of the contact: not just their LinkedIn profile, but how to reach them and what their company is about. By the end of enrichment, that once-bare record in your CRM is now filled with fresh fields — direct email, phone, title, LinkedIn URL, etc., all verified.
- Validate & Verify: Enriched data is only valuable if it’s accurate. We ensure recency and relevance by QA-ing everything manually and automatically. This means double-checking emails using a service like ZeroBounce to avoid bounces, and even clicking through to a contact’s LinkedIn profile to confirm their details (did they really start a new job last month? Is their listed email domain current?). In many cases, we “waterfall” the data through multiple sources to cross-verify it: if Apollo provides an email, we might cross-check that email via another lookup tool or a quick Google search. If one tool says a phone number is no longer in service, we try an alternative source. This rigorous validation step gives us confidence that when we do reach out, we won’t hit a dead end. The extra time spent here saves countless hours and impressions in wasted outreach.
- Update the CRM & Track Signals: Now we feed the enriched, verified data back into the master database (your CRM or marketing automation system).
